Job Title: Medical Administrative Executive

Job Summary
The Medical Administrative Executive will provide direct support to the TBCC Director and departments in managing medical projects. This role involves monitoring and reporting project progress, preparing comprehensive reports, coordinating and documenting meetings, and assisting with administrative needs to ensure smooth operations. The executive will play a key role in maintaining hospital standards, facilitating effective communication, and ensuring successful project outcomes.
Principles Duties and Responsibilities

Work Closely with TBCC Director and department heads to ensure that hospital policies, procedures, and standards are followed in the execution of medical projects.

Report project progress, operational challenges and relevant issues to TBCC Director, proposing corrective actions as necessary for successful project outcomes.

Prepare comprehensive reports on medical project status for TBCC Director, highlighting milestones, challenges and proposed solutions.

Coordinate and schedule meetings related to medical projects, ensuring that all parties involved are aligned and informed.

Take detailed minutes or reports for meetings related to medical projects and assist with task delegation in the absence of TBCC Director.

Assist in the administrative needs of TBCC departments involved in medical projects, ensuring smooth coordination and collaboration.
Educational Requirements
- Bachelor's or Master's Degree in Business Administration, Healthcare Management or related fields.
Professional Requirements
- At least 3 or 5 years experience in an administrative or operational role, ideally within the healthcare industry or managing medical projects.
- Proven experience in managing or coordinating healthcare-related projects, vendor liaison, and interdepartmental collaboration.
Specialised Skills/Knowledge/Attribute Requirement
- Familiar with current office systems and procedures.
- Adept at negotiation, interpersonal communication and should be socially and culturally adept.
- Computer literacy, including internet and IT savvy, is important.
- Strong project management and organizational skills.
- Excellent communication and interpersonal skills for liaising with the Director, vendors and hospital departments.
- Proficiency in drafting reports, proposals and official correspondence.
- Ability to coordinate and manage operational aspects of medical projects.
- Knowledge of hospital operations and healthcare services delivery standards.
- Must be fluent in oral and written English, fluency in oral and written in Malay and/or Chinese is also desirable.
