Job Summary
To provide essential support to ensure the smooth and efficient operation of an organization by handling a wide range of administrative and clerical tasks. This role serves as a backbone to daily office functions, ensuring that systems, processes, and communications run effectively.
Job Description
- Company Secretarial Work: Support company meetings (Board, AGM, etc.), help prepare and file statutory documents, maintain registers, assist with legal drafting, and manage shareholder communications.
- Contract Management: Track contract timelines and obligations, ensure timely renewals or terminations, maintain a contract database, and assist with tenant sourcing and coordination.
- Tender and Procurement: Participate in tender processes, coordinate procurement activities, communicate with bidders, and manage related administrative work.
- Budgeting: Help prepare and monitor the office administration budget to ensure proper financial management.
- Administrative Support: Improve office procedures, manage office maintenance, maintain filing systems, verify internal communications, and support insurance and IT administration.
- General Duties: Provide support for shareholder activities and perform other tasks as assigned by management.
Requirements
- Bachelor’s Degree in Business Administration, or any related field with 2 years of working experience or Higher National Diploma in Business Administration, or any related field with 5 years of working experience.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to act with integrity, professionalism, and confidentiality.
- Skilled in problem-solving and critical thinking.
- Strong knowledge of compliance, governance, and regulatory requirements
- Strong supervisory and interpersonal skills.
- Excellent organizational and attention to detail.
- Sharp time management skills.
- Ability to handle sensitive information with confidentiality.
- Excellent verbal and written communication skills, in both English and Malay.
- Occasional working beyond working hours may be required.
