Job Title: Assistant Executive, Legal & Compliance

Job Description
Responsible in providing operational support to the Legal & Compliance function to ensure the organisation’s activities comply with applicable laws, regulatory requirements, and internal policies. This includes assisting with the preparation and review of legal documentation, monitoring compliance obligations, facilitating regulatory submissions, and coordinating with internal and external stakeholders to uphold strong governance practices and mitigate legal and compliance risks.
Roles & Responsibilities
- Support the Legal Team in reviewing, preparing, and generating agreements, manuals, procedures, policies, and other legal and compliance documentation.
- Act as Assistant Tender Secretary by preparing Tender Committee Meeting agendas, compiling Tender Submission Assessment Forms, facilitating Evaluation Committee Meetings through scheduling and minute-taking, and coordinating with internal and external parties for tender-related activities, including preparation, issuance and follow-up of tender documentation such as Letters of Acceptance (LOAs) and Articles of Agreement (AOAs).
- Coordinate with internal departments, and external parties for tender, legal and compliance matters, including email correspondence, circulation of documents, and follow ups.
- Prepare, generate, coordinate signing/witnessing, stamping, and proper filing of Tenancy Agreements, Renewals, and other standard forms and agreements.
- Ensure all legal and tender documents are properly organised, stored, and retrievable for record-keeping, audits, and internal reference, in both softcopy and physical formats.
- Prepare monthly department updates, statistics, and track reminders/emails related to legal and tender matters.
- Contribute to the Division in strategic and cross-functional initiatives, including ISO, sustainability initiatives, and digital transformation projects, as assigned.
- Support the Audit Sub-Committee by assisting the Secretary in drafting minutes of meeting.
- Provide administrative assistance to Corporate Communications department as necessary.
- Perform any additional duties assigned by the line supervisor.

Education
Level of Qualification: Higher National Diploma
Major: Law, Legal Studies, Business Administration, Corporate Governance, or other related fields
Preferred Professional Certification: Paralegal certification or compliance-related certification is an added advantage
