Job Summary
The Administrative Assistant plays a pivotal role in supporting the efficient operation of the administrative unit by providing high-level clerical and organizational support to the TBCC Director, Head of Department, and associated teams. This position is responsible for managing and maintaining accurate records, preparing official documentation, coordinating meetings and schedules, and facilitating internal and external communications. The role requires close collaboration with multiple departments, ensuring timely follow-up on administrative matters, and maintaining confidentiality in handling sensitive information.
Qualifications
- Minimum O’Level with credit in English, Malay and Mathematics.
- Candidates who have equivalent through education and/or experience may be considered for assignment to this position, at the Management’s discretion.
Experience
- A minimum of 2 to 3 years working experience in administration or clerical is highly favorable
- Proven track record of handling administrative tasks such as record-keeping, managing schedules and assisting staff.
Job Responsibilities
- Provide general office support, such as answering phones, data entry, and responding to queries.
- Maintain and organize physical and digital files for easy access to records.
- Prepare and update routine documents such as meeting minutes, correspondence, and office forms.
- Handle incoming and outgoing correspondence, including mail and email.
- Support in managing meeting schedules for the TBCC Director and Head of Department.
Skills Requirements
- Strong verbal skills with the ability to interact effectively with patients and staff
- Capable of efficiently managing records and administrative tasks
- Skilled at prioritizing tasks and meeting deadlines
- Ensures accuracy in patient data and documentation
- Must be fluent in oral and written English. Fluency in oral and written Malay and/or Chinese is also desirable.
