Job Title:  Executive Officer

Job Summary

  • Provides executive, administrative and governance support to the Chief Medical Officer (CMO) in the coordination and oversight of matters under the purview of the CMO’s Office, including Medical Services, Nursing Services, Allied Health Services and other multidisciplinary clinical functions.
  • Serves as a central coordination point for the CMO’s Office by consolidating information, monitoring key priorities and deliverables, facilitating cross-functional matters and supporting timely decision-making across Clinical Services.
  • Supports the CMO in business and service planning, management reporting, policy governance, quality improvement, medical workforce administration and strategic or operational initiatives requiring CMO-level oversight
  • Coordinates the preparation of executive papers, management reports, briefing materials, governance documentation and other submission required by the CMO for Management, Board and organisational decision-making.
  • Works collaboratively with Centre Directors, Head of Departments and their respective administrative teams, recognizing their responsibility for day-to-day service operations while providing coordination and oversight for matters requiring escalation, integration or direction from the CMO’s Office.

Principles Duties and Responsibilities

CMO’s Office Coordination and Executive Support

  • Provide administrative and executive coordination support to the CMO in managing priorities, matters and initiatives requiring oversight or direction from the CMO’s Office.
  • Coordinate and consolidate information, submissions and matters arising from Medical Services, Nursing Services, Allied Health Services and other clinical functions for the CMO’s review, decision or endorsement.
  • Prepare executive correspondence, briefing papers, presentations, management reports and other documentation required by the CMO.
  • Monitor decisions, directives and action items arising from the CMO and ensure appropriate follow-up with the responsible Centre Directors, Heads of Departments or stakeholders.
  • Conduct research and consolidate relevant information required to support the CMO in meetings, discussions, planning and decision-making.

Management, Executive and Board Reporting

  • Coordinate the collection and consolidation of operational, workforce, financial and performance information from relevant Centres and departments for management reporting.
  • Monitor departmental KPIs, service indicators, operational dashboards and agreed deliverables to provide the CMO with visibility of performance across Clinical Services.
  • Analyse and interpret relevant information to identify performance trends, emerging risks, key issues and matters requiring CMO attention, and support the formulation of appropriate recommendations or follow-up actions.
  • Support the preparation of periodic performance reports, management presentations and executive updates for the CMO.
  • Coordinate follow-up on agreed improvement plans and performance actions with the respective Centre Directors and responsible departments.

General Responsibilities

  • Prepare confidential reports, data and other required information, as and when necessary.
  • Support the monitoring and consolidation of departmental KPIs and performance information under the CMO’s purview.
  • Support compliance with relevant financial, operational and organisational requirements applicable to matter coordinated through the CMO’s Office

Professional Requirements

  • A minimum of five (5) years of overall combined experience of healthcare or operational management is highly preferred.
  • Supervisory role work experience in an adminstrative is required.

 

Educational Requirements

  • A minimum of undergraduate Degree in Business Administration, Public Health, Healthcare Administration or any relevant field from an institute organised by the Government of His Majesty is required. 
  • Post-graduate degree qualifications in Project Management or any related field is preferred. 
  • Candidates who have equivalent qualification through education and/or experience may be considered for assignment to this position.

Specialised Skills/Knowledge/Attribute Requirement

  • Knowledge of corporate governance and executive reporting requirements, including the preparation and coordination of Board and Committee documentation, financial submissions, business cases and supporting analyses.
  • Experience managing multidisciplinary stakeholders and complex operational projects within tight timelines and organisational deliverables.
  • Demonstrated ability to engage and build relationships with stakeholders and operational departments, auditors, financial institutions, government agencies, and other external parties.
