Unit/Section

Storekeeper under Procurement Unit in Finance Department.

Main Roles and Responsibilities

Position Purpose

To ensure that proper care and maintenance of stock, including ordering, receiving and managing inventory are recorded timely. Ensuring the flow of goods in and out of the store accurately. Need to verify all goods arrived as per agreed purchase order, delivery note and agreed quantity has been received.

 

Main Duties and Responsibilities

  1. Verify and check the purchase requisition one off item.
    • Ensure requisition form signed off by Head of Department (Must receive form A before items can be issued)
    • Responsible for upkeep of various appropriate records of materials received from supplier.
  2. Issue stock item in and out from store.
    • Distribute the item according the quantity request to the respective department
    • update bin card once items has been issued.
  3. Replenish stock item that is at minimum quantity
    • Placed orders for new stock and supplies timely to avoid shortages and attached the item ledger report to procurement. Must confirm the quantity before proceed to order and forward to procurement.
    • Inspect and verify the good received from supplies are in good condition, report to procurement immediately if there are discrepancies.
  4. Fixed Assets Tagging
    • Ensure all the fixed assets to be tag by using DYMO LetraTag Label Maker
    • Take photo for new fixed assets
  5. Prepare weekly and monthly report
    • Assist head of store and assistant officer to update weekly and monthly report
  6. Filling works for Store Section
    • Daily filing of store documents and to ensure that all references are in running order by Department
    • Photocopying of Purchase Orders that have been fully received for the Procurement Department to keep a record.
    • Ensure and maintain proper filing system for easy tracking
  7. Report directly to the Assistant Officer, Procurement and Head of Storekeeper
    • To co-operate with Finance and Superior on ad-hoc tasks given
    • To assist auditor inquiry on matters related to store - to ensure inventory system and physical count are tally
    • Handling ad-hoc task assigned by line manager
  8. Cleanliness of Store
    • Maintained store facilities to ensure smooth functioning and that the store is kept clean and organized items into rack, update bin card after received from supplier.

Minimum Requirements

  • Minimum O-Level
  • Minimum 2 years working experience in Store, stock count and handling in and out going of issuance of item.
