Job Summary
Provides comprehensive executive, secretarial, administrative, and coordination support to the Chief Financial Officer’s office (CFO Office). The role requires the highest level of confidentiality, professionalism, and integrity in the preparation, management, distribution, and safeguarding of sensitive and confidential documentation, financial information, business data, and strategic initiatives involving Management Executives of the Company.
The Executive Assistant also supports the CFO Office in coordinating and monitoring key projects, strategic initiatives, and operational priorities by ensuring effective communication, tracking of deliverables, timely follow-up of action items, and preparation of management updates.
Principles Duties and Responsibilities
- Provide advanced, diversified, and confidential administrative and secretarial support to the CFO Office and other key stakeholders.
- Manage the Chief Financial Officer/Financial Controller calendar, appointments, meetings, conferences, and travel arrangements to ensure effective utilisation of executive time.
- Exercise the highest level of confidentiality in handling sensitive documentation, financial data, business information, Board papers, management reports, and strategic documents.
- Assist CFO Office in coordinating and overseeing Finance Division projects, strategic initiatives, and business improvement programs.
- Coordinate, prepare, and collate monthly progress reports, departmental updates, management submissions and actioning outcomes of meetings for CFO Office
- Provide support in gathering financial and business data, perform business analysis, identify trends and prepare findings, reports and/or presentation to CFO Office in a clear and concise manner.
- Assist in maintaining proper governance records for projects, approvals, and management decisions.
- Perform other duties and responsibilities as assigned by CFO Office.
Professional Requirements
- Minimum relevant experience in executive administration, management support, project coordination, or similar roles.
- Experience supporting senior executives and handling confidential business information is preferred.
Educational Requirements
- Minimum Bachelor's Degree in Business Administration, Finance, Management, or any related field.
- Master’s Degree in Business Administration, Finance, Management, or any related field would be an added advantage.
Specialised Skills/Knowledge/Attribute Requirement
- Proficiency in digital office systems, programs, and software applications including Microsoft Office Suite, Microsoft Teams, virtual meeting platforms (e.g., Zoom, Skype), and other required business platforms.
- Strong written and verbal communication skills with the ability to communicate effectively with internal and external stakeholders.
- Ability to analyse and interpret large sets of data to identify key trends and provide meaningful summaries.
- Strong organisational and time management skills with the ability to manage multiple priorities and deadlines.
- High level of accuracy, attention to detail, and commitment to quality.
- Ability to maintain strict confidentiality of classified financial, operational, and strategic information.
- Strong interpersonal skills with the ability to work independently and collaboratively across departments.
