Job Summary
This role plays a key supporitng function in strengthening HR governance and compliance by ensuring HR policies, manuals and documentation are well-maintained, up to date and aligned with organisational standards. The succesfful candidate will support quality assurance activities and governance processes, contirbuting to consistent, transparent and audit ready HR Practices across the organisation
Position Requirements
- Bachelor's Degree in Business Management, HR Management, Mass Communication, Law or any related field
- Previous work experience in Corporate Management
- Proficient in the use of Microsoft Office including Excel, Powerpoint, Power BI
- Strong written and verbal communications skills - customer-centic, service-forward attitude and mindset
- Strong attention to details and accuracy when reveiwing a document
- Organised, methodical and reliable
- Exposure to compliance activities is highly desirable
- Exposure to admnistrative, HRor quality asurance work is highly desirable
Priniciple Responsibilities
1. Policy Administration & Documentation
Assist in maintaining and updating HR policies, procedures, and guidelines, including the HR Policy Manual, HR Departmental Policies, Authority Manuals, and delegated approval matrices.
Support document control activities such as version control, formatting, numbering, filing, and archiving HR policies.
Track policy review cycles and follow up on scheduled updates, approvals, and endorsements.
Ensure approved changes are accurately reflected across all official HR documents and repositories.
2. Governance & Compliance Support
Support the administration of HR governance processes, including Conflict of Interest (COI) declarations and policy acknowledgements.
Maintain accurate and up-to-date records of submissions, approvals, and follow-ups.
Assist in ensuring HR practices align with internal policies, governance standards, and applicable regulatory requirements.
3. Quality Assurance & Audit Support
Assist in periodic internal reviews of HR policies and processes to ensure consistency, compliance, and proper documentation.
Support the preparation of audit evidence, checklists, and supporting documents for internal and external audits.
Identify and flag gaps, outdated documents, or inconsistencies for review by the supervising officer.
4. Monitoring & Reporting
Maintain trackers for policy status, review timelines, governance documentation, and audit follow-up actions.
Prepare basic reports or summaries on policy updates, compliance status, and outstanding actions for management review.
5. Administrative & Coordination Support
Coordinate with HR teams, departments, and committees to obtain inputs, confirmations, and documentation related to HR governance matters.
Provide administrative support for meetings, briefings, and communications related to HR policies and governance initiatives when required.
Educational Requirements
- A Higher National Diploma or equivalent in Human Resources Management/ Business Administration, Social Sciences or other relevant disciplines such as Business Administration, International Relations and Psychology
- A Bachelor Degree or higher will be advantageous as are additional HR professional qualifications.
