Job Title: People Executive (Deployment & Processing)

Job Summary
The People Executive is responsible for managing expatriate workforce administration by overseeing immigration, employment pass, labour pass and deployment processes in compliance with statutory requirements and organisational policies. The role serves as a key liaison with government authorities, regulatory bodies and internal stakeholders to ensure timely processing of expatriate employment matters, maintain accurate workforce records, and support seamless employee deployment. The incumbent also contributes to policy implementation, process governance, reporting, and continuous improvement initiatives to enhance operational efficiency, compliance and service excellence within the People function.
Principles Duties and Responsibilities
- Immigration, Passport & Expatriate Mobility Management
- Manage end-to-end immigration processes for expatriate employees and eligible dependents, ensuring timely application, endorsement, renewal, amendment and cancellation of all employment-related passes and visas.
- Coordinate passport submission, collection, immigration endorsements and cross-border processing activities with relevant government authorities.
- Government Regulatory Coordination & Stakeholder Management
- Serve as the primary People representative in coordinating immigration and labour matters with government agencies and regulatory bodies.
- Establish and maintain productive working relationships with:
- Immigration & National Registration Department
- Labour Department
- Board Management Office
- Professional Regulatory Councils
- Other statutory authorities
- Labour Pass & Workforce Compliance Administration
- Manage LPA, renewals, amendments and cancellations through NLMS.
- Monitor labour approvals to support organisational manpower planning.
- Policy, Process Framework & Governance
- Develop, review and maintain immigration, deployment and processing policies, SOPs, and process flow frameworks.
- Standardise deployment processes to ensure consistency, regulatory compliance and service excellence across the organisation.
- Data Management, Records Governance & Reporting
- Maintain complete, accurate and secure digital and physical records relating to expatriate employment, immigration, labour passes and deployment activities.
- Develop and maintain centralised master databases for immigration documentation, passport validity, labour approvals and expatriate deployment.
- Expatriate Employee Experience & Stakeholder Support
- Act as the primary People contact for expatriate employees throughout the immigration and deployment lifecycle.
- Provide professional guidance to employees, hiring managers and departmental representatives regarding immigration procedures and statutory requirements.
- Digitalisation & Continuous Improvement
- Identify opportunities to improve efficiency through automation, digitalisation and process optimisation.
- Lead or support implementation of digital initiatives including online forms, workflow automation and internal system enhancements.
- Team Support & Operational Continuity
- Support operational planning by coordinating workload distribution and monitoring service delivery.
- Maintain process documentation to ensure operational continuity and business resilience.
Professional Requirements
- A minimum of 2-3 years of working experience in Human Resources
Educational Requirements
- Bachelor’s degree in Human Resources, Business Management or related field.
- Basic understanding of Human Resource processes and employee lifecycle concepts is an advantage.
